Automations

How the Stage Move Window Works, and How to Skip What Does Not Apply

Moving an opportunity into a stage opens a window with every automation on that stage already switched on. Untick a whole automation, or just one of its actions, when it does not apply to this particular card.

When you move an opportunity into a stage, TrustPager runs the automations configured for that stage. A window opens first so you can see exactly what is about to happen, and change it for this one move if you need to.

Everything Starts Switched On

The window opens with every automation on that stage already switched on. That is deliberate: someone set those automations up on that stage on purpose, so the normal path is that they run. The window exists to let you deviate from that, not to make you re-confirm the setup on every single card move.

The buttons tell you what will happen:

An automation marked Always runs carries a badge and cannot be switched off. It runs even if you choose Move without running. That setting belongs to whoever owns the automation, and you can turn it on per automation under Trigger Settings at https://app.trustpager.com/auto/automations.

Skipping a Single Action

Sometimes the whole automation is right but one step inside it is not. Any automation with more than one action lists its actions underneath it, each with its own switch, visible straight away with no extra click. Single-action automations show no nested list.

The most common case: a stage that sends the intake form, a welcome email, an accounting access request, an admin notification, and creates a follow-up task. For an advisory client who already has their accounting set up, that one request is not relevant. Untick just that action and confirm. The other four still fire.

Other cases where this helps:

An Action That Cannot Run

If an action needs something this opportunity does not have, for example an email with no contact email address on file, it opens switched off and locked, with the reason shown. If every action in an automation is in that state, the whole automation opens off and locked. Fill in the missing detail on the opportunity and the action becomes available on the next move.

What Gets Recorded

Every automation you switch off still gets a run record, marked as skipped, so the history always answers the question "did that fire?". Skipped individual actions are recorded on the run record alongside the ones that fired and the ones that failed. Over the API, a skipped run now tells you why it was skipped: because someone switched it off in this window, because its conditions did not match, or because it was suppressed as a duplicate.

Tip: This window only appears when the stage you are moving into has at least one enabled automation. If it does not appear, check the automation is switched on at https://app.trustpager.com/auto/automations.
