How to Open and Save Email Attachments in the Inbox
Open files that arrive on an email, save them by hand, or let an automation file client attachments onto the right opportunity for you.
Files that arrive on an email show as chips under that email in your Inbox. Open any conversation at https://app.trustpager.com/inbox/email and look below the message for the attachment list.
Open a file
For email sent to your workspace's TrustPager Mail address, click the file's chip. It opens in a new browser tab, where you can view or download it. If the conversation is linked to a contact or opportunity, clicking the chip shows a small menu: choose Open.
Save a file to a contact or opportunity
When the conversation is linked to a contact or opportunity, click the file's chip and pick the record under Save to.... PDFs are added to that record's documents, and everything else to its files. A saved file shows a green tick, and clicking it opens a preview.
This works for email sent to your TrustPager Mail address and for email synced from a connected Gmail inbox. Gmail files are fetched from Gmail at the moment you save them, from the mailbox the email was addressed to. That means a thread involving several of your staff members saves correctly, whichever teammate's inbox received the message.
Save attachments automatically
If clients regularly email you files, let an automation do the saving. The Save Email Attachments action is only offered on Email Received automations, and it is opt-in: nothing is saved until you add it.
When a known contact emails in attachments, the action saves the real files to that contact's opportunity (see below for how it chooses). PDFs land in the opportunity's Documents and other files in Files. Each file keeps its original filename, and its description reads: From email "<subject>" received <date>. One timeline note is added per email ("Saved N email attachments"), and by default the opportunity's primary assigned staff member gets an email too. It works for every mailbox connected to your workspace, both Gmail and TrustPager Mail.
Set it up
- Open your Email Received automation at https://app.trustpager.com/auto/automations.
- Add the Save Email Attachments action, or open it if it is already there.
- Choose the pipelines it should look in (none chosen means any pipeline).
- Choose who should get the filing task when a file can't be matched, and how the task is set up (see below).
- Save the automation.
Tip: add the action to your existing Email Received automation rather than creating a second one. Each Email Received automation uses one run credit per inbound email, so a second one doubles the cost.
How it picks the opportunity
It never guesses. It first looks at the opportunities the email thread is linked to, then at the contact's own opportunities, limited to the pipelines you chose. It tries open opportunities first. If exactly one open opportunity matches, the files go there. If there is no open opportunity, it falls back to the contact's won opportunities. Lost and archived opportunities are never used. If none or several match, then by default the files are saved to the contact record and an Attachment needs filing task is created. You can switch off either the contact-record save or the task.
The same task is created if a file can't be downloaded (for example, it has been removed from the mailbox). The task names the file, so you know exactly what to fetch and file by hand.
Set up the filing task
These settings are in the Save Email Attachments step of your Email Received automation at https://app.trustpager.com/auto/automations:
- Due date: how many days after the email arrives the task falls due. The default is 0, which means the same day.
- Instructions on the task (optional): add your own filing steps. They are written into the task's Detailed Description, which is rich text, so your line breaks and indented sub-steps are kept. You can write up to 5,000 characters. The task's one-line summary keeps the standard text: the file names, the email subject, the received date and "Move it to the right opportunity". Your team sees the summary at a glance and opens the task to read your full steps.
- Who gets the task: choose Always the person below to send every task to the team member you pick. Or choose The owner of the client's opportunity to send it to that opportunity's primary owner. The owner option only applies when every matching opportunity has the same owner. If the owners differ, or there is no opportunity, the task goes to the person you picked below instead.
Even with the owner option, files are still never placed on a guessed opportunity. The owner setting only decides who gets the task.
What it skips
- Unknown senders (the sender must be a contact).
- Emails from your own team. Ignore emails from your own team is on by default. It skips mail from your workspace's users and from addresses your connected mailboxes send as. By default it matches people and mailboxes, not a whole domain, so a colleague at another address on your domain is not caught unless they are a user of your workspace. Switch it off if you want internal emails filed too.
- Also treat these senders as your own (optional): while Ignore emails from your own team is on, this extra box appears underneath it. List full addresses or whole domains (written like @yourdomain.com.au), one per line or separated by commas. Mail from them is skipped just like mail from your own team. It is handy for a sister business or a shared domain that emails you, where you don't want their files filed against client opportunities. For the exact field name, see https://docs.trustpager.com/reference#automations.
- Automated or bulk mail: no-reply senders, auto-replies and mailing lists.
- Inline images, and images smaller than a set size (50 KB by default), so signature logos don't clutter the record.
- Calendar invites (.ics files).
- Files over 5 MB.
- Files already saved, either from the same email or the identical file from another of the contact's emails.
Share with the client portal
Optionally, each saved file can also be shared into the opportunity's active client portal. This is off by default.
Find what was saved with AI
Ask your AI assistant to run list_opportunity_documents or list_opportunity_files for the opportunity. For exact action settings, see https://docs.trustpager.com/reference#automations.
Limit an Email Received automation to one mailbox
An Email Received or Email Bounced trigger can no longer be scoped to a single mailbox with a source setting (it never worked). Instead, add a condition on original_recipient with the operator eq and the address, for example support@yourdomain.com.au. Only emails sent to that address will run the automation.
Limits
- Files up to 5 MB can be saved to a record. Larger files sent to your TrustPager Mail address can still be opened and downloaded.
- Files sent to a TrustPager Mail address before 29 September 2026 were not kept, so they show as a plain label and can't be opened. Ask the sender to send them again if you need them.
