How to Add PDF, Image & File Cards to Your Playbooks
Pin PDFs, images, and files directly to a Playbook so your process docs and reference materials live alongside your other training content.
Playbooks let you build training boards for your team — and alongside video and notepad cards, you can pin PDFs, images, and files directly to the board. This means your process docs, reference sheets, brand assets, and onboarding materials all live in the same place as the rest of your training content.
Three card types
- PDF card — links to a document from your Documents library. Clicking the card opens the full PDF viewer.
- Image card — links to an image from your Files library. The card shows a thumbnail on the board; clicking opens the full-size preview.
- File card — links to a secure file from your Secure Files library. Clicking opens the secure file preview.
Adding a card to a Playbook
- Go to https://app.trustpager.com/training/playbooks and open a Playbook.
- Click Add card and select PDF, Image, or File depending on what you want to attach.
- Give the card a title. You can also add a short description that shows on the card when no thumbnail is available.
- On the attachment step, choose how to source the file:
- Upload New — drag in a file or browse to upload it fresh. It gets saved to the relevant library (Documents, Files, or Secure Files) and linked to the card in one step.
- Link Existing — search and select something already in your library. Useful when the same document appears on multiple Playbooks.
- Click Save. The card appears on the board immediately.
Tip: You can reorder cards by dragging them. Grab the grip handle in the top-left corner of any card and drop it where you want it.
Interacting with cards
Any team member who can view the Playbook can click a card to open the content:
- PDF cards open in the full-screen PDF viewer with page navigation and zoom.
- Image cards open a full-size preview lightbox.
- File cards open the secure file preview with download access (if the file allows it).
If the underlying file has been deleted, the card shows a "no longer available" notice instead of crashing — so the Playbook stays intact even if library content changes.
Editing or removing a card
Hover over any card to reveal the settings and remove buttons in the top-right corner. Use Settings to change the title, description, or swap the linked file. Use the Remove button to delete the card from the Playbook (this does not delete the underlying file from your library).
Permissions
Adding and editing cards requires a role with training write access. View-only users can open and read cards but cannot add, edit, or remove them. Manage roles at https://app.trustpager.com/settings/permissions.
Troubleshooting
- The "Add card" button isn't visible. Your role likely has read-only access to Training. Ask an admin to update your permissions at https://app.trustpager.com/settings/permissions.
- A card shows "no longer available". The file it was pointing to has been deleted from the library. Edit the card to link it to a replacement file, or remove the card.
- I uploaded a file but can't find it in "Link Existing". Check that you're on the correct tab — PDFs live in Documents, images in Files, and other file types in Secure Files. Each card type only searches its own library.
