How to Set Up Email Settings
Configure multiple sending addresses, signatures, per-address permissions, verified custom domains, reply-to, branding, and optional Gmail routing for TrustPager Mail.
Email settings control how TrustPager sends outbound email — your sending addresses, signatures, verified custom domains, branding, and optional Gmail routing. Open email settings at https://app.trustpager.com/settings/email.
Sending Addresses
Your workspace can have multiple named sending addresses — for example, Estimates, Accounts, and Support, each with its own from-address, from-name, and signature. One address is marked as the Default and is used whenever no specific address is chosen.
Manage your addresses at https://app.trustpager.com/settings/email under the Sending Addresses section.
Adding an address
Click Add address. Give it a label (e.g. "Estimates"), a from-name (e.g. "Acme Estimates"), and a from-address. For the from-address you have two options:
- TrustPager Mail handle: type a handle like
estimates— emails send fromestimates@mail.trustpager.netand replies route back into your TrustPager inbox automatically. - Verified custom domain: if you have verified a domain you own (see Verified Sending Domains below), type the local-part and choose your domain from the dropdown — for example,
estimates@yourcompany.com.
Addresses save automatically when you tab out of each field.
Default address
One address is your Default. It is used whenever no specific sender is chosen — in automations, blast campaigns, and the compose window before you pick a specific address. To change it, open the address you want and click Set as Default.
If your Default address is still on @mail.trustpager.net and you have a verified custom domain, a nudge appears at the top of the page prompting you to promote one of your branded addresses to Default. There is no obligation to do so, but branded addresses improve open rates and deliverability.
Per-address permissions
Each address has a Who can use this address setting that mirrors the "who can call" control on phone numbers. Leave it empty to allow anyone with email-send permission to use this address. Add specific team members to restrict it — only the listed people will see and be able to send from this address.
Team members who have not been granted email-send permission appear in the list with a link to manage their permissions at https://app.trustpager.com/settings/permissions.
Signatures
Each sending address has its own signature. Open the address and paste your signature into the signature box — formatting, links, and logos copy across from Gmail or Outlook and are preserved. Switch between the visual preview and HTML source using the tabs at the top of the signature editor.
The signature is appended automatically when you send from that address, whether you are composing a new email, replying in the inbox, running an automation, or sending a blast.
Choosing Your Sender
Wherever you send email in TrustPager, a sender dropdown lets you pick which address to send from:
- Compose window and inbox replies: a sender dropdown sits at the top of the compose form. It defaults to your workspace's preferred sending rail (TrustPager Mail or connected Gmail, whichever is set as your workspace default), then remembers your last-used sender — this persists per workspace in your browser, so it carries across sessions.
- Automations: the "Send Email" action includes a Send from field. Pick a specific address for that action, or leave it on Default. Permissions still apply — if the address is restricted, the automation must be owned by someone who has access.
- Email blasts: the sender dropdown is in the Sender card in the right-hand Settings column of the campaign editor, shown as a dropdown above the sender preview.
Verified Sending Domains
Add and verify a domain you own at https://app.trustpager.com/settings/email under Sending Domains. TrustPager generates two DNS records — a DKIM TXT record and a Return-Path CNAME — for you to add at your DNS host. No SPF or MX changes are needed; your existing inbox keeps receiving mail normally.
DNS tip: most registrars (Namecheap, GoDaddy, Cloudflare) automatically append your domain to the record Name field. Enter the relative host value shown on the Settings page, not the full hostname. For example, enter pm-bounces, not pm-bounces.yourcompany.com. The Settings page shows the exact value with a copy button for each record.
After adding the records, click Check. Verification usually completes within a few minutes; it can take a few hours depending on your DNS provider's TTL. For a step-by-step walkthrough, see https://trustpager.com/help-center/workspace-email-domain.
Reply-To Email
When a recipient clicks Reply in their email client, the reply goes to the Reply-To address — typically a monitored inbox like support@yourcompany.com. Set it in the Reply-To Email field at https://app.trustpager.com/settings/email. This is a workspace-wide setting shared across all sending addresses.
Branding
Email templates generated by TrustPager use your company logo, primary colour, and secondary colour. Upload your logo and set brand colours under the Branding section at https://app.trustpager.com/settings/email. PNG format, 200px height recommended for the logo.
Team Gmail (Optional)
If one or more team members have connected their Gmail at https://app.trustpager.com/account/connect and shared at least one alias with your workspace, a Team Gmail section appears at the bottom of https://app.trustpager.com/settings/email.
Team Gmail applies to one-to-one emails composed from the inbox only. Automations and blast campaigns always use TrustPager Mail.
Gmail Account
Choose the team member whose Gmail you want the workspace to route through for personal sends. The dropdown shows everyone who has connected Gmail and shared an alias with this workspace.
Sending Address
Once a Gmail account is selected, choose the send-as alias to display as the sender — for example, info@yourcompany.com. If you leave this blank, the user's default Gmail address is used. Each alias can only be assigned to one workspace at a time.
MCP and API Access
Sending addresses are accessible via the TrustPager API and MCP. Use list_email_configs to see all addresses for a workspace, get_email_config to retrieve one, create_email_config to add a new address, and update_email_config to edit an existing one. get_email_capabilities returns the full sending capability of the workspace based on the current configuration.
Troubleshooting
A team member cannot see a sending address in the compose dropdown. The address has a restricted "Who can use this address" list and that person is not on it. Open the address at https://app.trustpager.com/settings/email and add them, or clear the restriction to allow anyone with email-send permission.
An automation is not sending from the address I chose. Check that the automation owner has access to the selected sending address. If the address is restricted to specific people and the automation owner is not one of them, the send will fall back to the Default address. Either add the owner to the address's permission list or switch the automation to an unrestricted address.
The branded-address nudge will not go away. Promote one of your custom-domain addresses to Default by opening it and clicking Set as Default. The nudge disappears once your Default address is on a verified domain.
Automated emails are not sending. Check that your Default sending address has a from-name set and that TrustPager Mail has a Reply-To Email configured at https://app.trustpager.com/settings/email. If either is missing, the platform cannot dispatch emails.
The Team Gmail section is not visible. At least one team member must connect Gmail at https://app.trustpager.com/account/connect and share an alias with this workspace before the section appears.
My verified domain is not passing the Check. Confirm you entered the relative host value (e.g. pm-bounces), not the full hostname. Give it a few minutes, then click Check again. If it has been more than an hour, confirm both records are saved and active in your DNS host's control panel.
Replies to automated emails are not coming through. Confirm the Reply-To Email at https://app.trustpager.com/settings/email is a real, monitored address.
