How to Send Automatic Emails When an Opportunity Changes Stage

Set up automations that fire when an opportunity moves between pipeline stages — emails, SMS, tasks, and more.

One of the most common automations: when an opportunity moves to a specific pipeline stage, TrustPager automatically sends an email to the contact. No one has to remember, no follow-up slips through the cracks.

How It Works

The flow is simple:

  1. A team member drags an opportunity to a new stage (e.g. "Proposal Sent")
  2. The automation detects the stage change and fires immediately
  3. The contact receives a personalised email using your template
  4. The email is logged as an activity on the opportunity

Setting Up the Automation

Stage automations are configured directly on the pipeline. Go to https://app.trustpager.com/crm/pipelines, open the pipeline you want to automate, click the stage header where you want the automation to fire, and add a new automation. Choose Stage Change as the trigger type — this fires whenever any opportunity enters that stage.

Next, add a Send Email action. Choose the template you want to use (or write a custom message), set the recipient to the contact on the opportunity, and configure the sender address.

Template Tokens in Automated Emails

Automated emails support all the same template tokens as manual emails — the contact's name, opportunity value, product details, your company info, and more. See https://trustpager.com/help-center/template-tokens-reference for the full token list.

Chaining Multiple Actions

Stage-change automations aren't limited to emails. You can chain multiple actions together:

Tip: Check the Run History on any automation to see every time it fired — what data was used, whether it succeeded, and what the email looked like. This is invaluable for debugging and auditing.
