How to Run AI Needs Analysis on an Opportunity
Let AI read every note, call transcript, and email, then generate a full needs analysis with recommended products, deliverables, and a closing strategy.
After several calls, emails, and meetings with a prospect, you have a wealth of information scattered across notes, transcripts, and threads. The AI Needs Analysis reads all of it and generates a structured breakdown in one click, so you know exactly what to quote and how to close.
Running the Analysis
Open any opportunity and scroll to the Needs Analysis card. Click Generate Analysis. The AI reads every note, call transcript, email, SMS, and discovery answer on the opportunity, then generates a complete analysis.
What the Analysis Includes
The output is broken into clear sections:
- Executive Summary: a plain-language overview of the client's situation and what they need
- Callout: the single most important takeaway, useful for proposals
- Identified Needs: specific needs the AI found, each paired with a recommended solution
- Recommended Products: products from your catalogue that address the needs, with real pricing
- Guaranteed Deliverables: what the client will receive if they proceed
- Delivery Timeline: the phases the work moves through after the client signs
- Closing Strategy: personalised tips for closing this specific opportunity, based on the client's communication style and decision-making process
How the AI describes your products
The AI reads the full description of every product attached to the opportunity and treats it as the complete list of what the client is buying. It only presents something as included, delivered or guaranteed if that product's description says so. Anything the client asked for that the package doesn't cover is left out or noted as not covered, so your proposal never promises work you don't do.
That makes the product description the place to be precise. List every inclusion in each product's description at https://app.trustpager.com/settings/products, and say what is not included if clients often ask for it.
How much of a call the AI reads
When calls are linked to the opportunity, the AI reads far more of them than it used to. All linked transcripts share one large reading allowance, newest call first. If a single call is too long for its share, the AI keeps the start and the end of it, because that is where fees and terms are usually agreed.
When a call transcript is attached, the call decides what the engagement is: the scope, the approach you agreed, the timing and turnaround, and the payment terms. The product's "What is included" text still decides what is included.
If the call mentions anything outside the engagement, such as work quoted separately, a later stage, or another adviser's work, the executive summary finishes with an Outside this engagement: paragraph so the client can see where your work stops.
What the AI will not promise
For every workspace, the AI never promises or guarantees an outcome that someone else decides. That covers regulators and tax offices, courts, creditors, trustees, lenders, insurers, councils, search engines and ad platforms, and the client's own customers. It also will not claim that a third party will prioritise the case or look on it favourably. Instead it describes what you control: the work you do, the quality of it and when you do it.
It also does not invent ongoing support, regular updates or check-ins unless the product's description includes them. If you offer those, put them in the product description at https://app.trustpager.com/settings/products.
If you previously added your own instructions to stop the AI making guarantees, you can now remove them at https://app.trustpager.com/settings/crm, since this rule is built in.
Creating Documents from the Analysis
Once the analysis is complete, click Add on the Documents card in the sidebar to create a new proposal or quote pre-filled with the analysis data. You don't start from scratch: the executive summary, pricing, and deliverables are already there.
Re-running the Analysis
As the opportunity progresses and you have more conversations, click Re-analyse to regenerate the analysis with the latest data. The more information on the opportunity, the better and more specific the output.
Customising the Proposal Builder
Every setting lives at https://app.trustpager.com/settings/crm?section=needs-analysis:
- Who you write for: the audience the proposal speaks to, for example your clients' industry.
- Tone guide: your own voice and style rules. When you set one, it replaces the built-in writing style completely.
- Default instructions: standing house rules applied to every run, such as "always recommend the premium tier first".
- Sections: switch each section on or off (callout, solutions, recommended products, guaranteed deliverables, delivery timeline, closing strategy) and set how many needs, deliverables and timeline phases you want.
- Product order: how recommended products are sorted.
A run takes about 30 seconds. Settings apply to your whole workspace from the next run. Existing saved analyses are not updated automatically, so re-run any opportunity to apply new settings.
Connected AI agents and integrations can change the same settings with update_crm_settings. The exact field names are listed at https://docs.trustpager.com/reference#company, which is generated from the live API and always current.
Tip: The quality of the analysis depends directly on the data on the opportunity. Log your calls, save your notes, and keep discovery answers up to date. The AI uses all of it. A well-documented opportunity produces a significantly better analysis.
