Running your clients as a TrustPager agency
For agency staff: the three staff roles, the Overview, your clients and each client's page, quoting a client, starting a client from a template, websites and the site page, templates, service requests, commission, commission for your team, payout details and the agency API key.
If your business is a TrustPager agency, you build and look after workspaces for your own clients. The Agency section is where you do it: your clients, the ready-made setups you start them from, their websites and service requests, and the commission you earn. Open it from More in the top menu, or go straight to https://app.trustpager.com/agency/home.
Your role decides what you see
Agency staff have one of three roles, set by the agency owner at https://app.trustpager.com/settings/team in the Agency role column. Pages and buttons your role can't use are hidden or switched off, so if something described below is missing, check your role first.
- Owner: everything, including commission, payout details, staff roles, removing or deleting clients, connecting GitHub and accepting the agency agreement.
- Systems architect (fulfilment): opens client workspaces as free agency support, builds templates and websites, handles service requests fully (status, notes, pass to TrustPager), and creates clients and sends signup links. A systems architect sees no commission anywhere.
- Account manager (sales): creates client workspaces and sends signup links, sees the client list and each client's health, and sees service requests and can add notes (but can't change a status or pass a request to TrustPager). They see commission for only the clients they sold. An account manager never gets an Open workspace button, and has no access to Websites or Templates.
Websites and Templates are for owners and systems architects.
If you work for more than one agency
You can be on the staff of several agencies. The Agency section always shows one of them at a time. The agency switcher is a card in the Agency sidebar, under the Agency heading, showing the agency's name and your role. If you're in several agencies, click the card to open a dropdown and pick another. Choosing an agency also opens that agency's own workspace, so everything you see and do is for that agency: its clients, templates, websites, service requests, signup links and commission. Nothing from one agency shows up under another.
Overview: what needs you today
https://app.trustpager.com/agency/home opens with a greeting and a row of headline tiles:
- What your clients pay each month.
- Your clients split into paying, on a trial and free.
- This month's commission estimate (owners and account managers only; an account manager sees only the clients they sold).
- Quotes waiting to be paid.
The commission figure matches the Commission page: it's worked out on the money we've actually received, not on the prices your clients are on.
Today
Today groups everything that needs you across all your clients by kind, ranked by urgency: payments that failed, trials ending, template copies that failed, open service requests, setup to finish, and clients with no owner yet. Click a group to open a side panel and work through each client in it, without leaving the page. Depending on the group you can choose an owner, send a quote, mark setup items done, or open the client's workspace.
Choose a client's owner
For a client with no owner yet, open that group in Today, choose their owner in the box and click Make owner. You can pick anyone who already has a TrustPager login and is in one of your clients' workspaces, and the business's recorded owner is suggested first. They get access straight away, and no email is sent. For someone who doesn't have a login yet, click Invite someone new. You can also change a client's owner any time on the Team tab of the client's page (see below).
Sales pipeline, commission chart and activity
The Sales pipeline follows your clients through On a trial, then Quote sent, then Paid this month, with your open quotes listed beneath it. Owners and account managers also see a six-month commission chart. A recent activity feed shows what's been happening across your clients.
Your clients
https://app.trustpager.com/agency/clients lists every client workspace you look after, with its plan, what it pays, how many people use it, its website and its open requests.
Five tiles across the top double as filters. Click one to narrow the list: monthly revenue, paying, on a trial, need attention, and at risk. The Health column shows each client as Healthy, Needs attention or At risk. Owners also see a Sold by column showing which staff member brought the client in.
Click a client to open its client page. Owners and systems architects can go straight into a client from there with Open workspace, as agency support (account managers don't open client workspaces). Agency support is free: it never uses one of your client's paid seats. You don't appear in your client's team lists or pickers, and your client can't remove your access themselves. If a client wants your access changed, they submit a service request at https://app.trustpager.com/settings/service-requests.
Start a new client
- Go to https://app.trustpager.com/agency/clients and click New client at the top right.
- Enter the business name.
- Under Start from, choose Blank workspace or one of your templates.
- Click Create client.
Straight after creating the client, click Make a quote to go directly to a quote for that client.
The new workspace starts on a 14-day free trial of Pro, with no card needed. Open it, then invite the business owner from https://app.trustpager.com/settings/team so they can log in. Your agency can create up to 25 new workspaces a day.
Your signup links
Click Share signup link in the header of https://app.trustpager.com/agency/clients to open your signup links in a window. Every staff member sees their own personal link. Share it with a new client: when they sign up through it, they get the same 14-day free trial and join your agency straight away, and the signup is recorded as a client you brought in. Click Copy link to copy it.
The agency owner also sees the agency's general link, which is credited to nobody, and can click New link to replace it if it has been shared too widely. The old general link stops working at once, but everyone's personal links keep working, and clients who already signed up stay with you.
The client page
Each client has its own page. Open it by clicking the client on the Clients list. It's the main place to look after one client.
At the top you'll see badges for the client's health, plan and setup, then tiles for what they pay each month, commission from them all time, users, when they were last active and open requests. The header has Make a quote and Open workspace, and for the agency owner Remove from agency and Delete workspace. The page is split into tabs:
- Overview: what needs doing for this client, each with a fix button, plus the setup items still to finish.
- Billing & quotes: make a quote and see all of the client's quotes side by side, plus the commission you earn from this client.
- Website: a live preview, publishing, the domain, and recent versions.
- Service requests: this client's requests.
- Team: choose or change the business owner, see who sold them, and see which template they started from.
- Activity: what's happened on this client.
Remove a client from your agency
If a workspace shouldn't be one of your clients, the agency owner can remove it: open the client's page and choose Remove from agency in the header. The workspace itself isn't changed. Your team loses its support access, you stop earning commission on it, and its service requests go straight to TrustPager.
Remove a client you made by mistake
If you made a client workspace by mistake, or made a test one, the agency owner can delete it. Open the client's page, choose Delete workspace in the header, then type the client's name to confirm. Everything in the workspace is deleted for good, including its files.
You can only delete a workspace while it's still a mistake nobody relies on:
- Your agency made it. Clients who signed up through your link, or were added to your agency by TrustPager, can't be deleted here.
- Nobody from the client has joined it. An owner you've invited counts, even before they sign in, so remove them from the workspace's team page first.
- It has never been billed: no saved card, subscription or invoice. If it has, send us a service request and we'll close it for you.
- Nothing is bought or connected: no phone numbers, no website with hosting or a domain, no voice agents, no connected apps, no email sending domain and no team WhatsApp number. Remove those first.
If a workspace can't be deleted yet, Delete workspace is greyed out. Only the agency owner sees the option. Your agency can delete up to 25 workspaces a day.
Quotes for your clients
A quote is a link you send a client so they can pay for something without logging in. Owners, systems architects and account managers can all make them. Click Make a quote in the header of a client's page, or open the Billing & quotes tab, where you can make a new quote and see all of that client's quotes side by side.
What you can quote
- TrustPager CRM: choose the number of users, at $129 a month each (ex GST), plus a one-off setup fee. The setup fee is $2,000 by default and you can negotiate it down to $500, but never lower. CRM isn't offered when the client already pays for it. They change their users on their own Billing page instead.
- Website Design, $2,490: done for you. We design and build the website, connected to their CRM. Hosting is $5 a month, taken from their credits.
- AI Agent, $1,290: done for you. We set up an AI agent trained on their business. What it uses comes from their credits, pay as you go.
Website Design and AI Agent are only for clients already set up on the CRM (paying, not on a trial). You can also add their name, their email and a note, which is shown on the quote.
Send it and track it
Making a quote gives you a link to copy and send any way you like: email, text or chat. You can also email it from the quote: enter (or keep) their email and click Email it to them. Open quotes that have an email show Email again. The email comes from TrustPager with your agency's branding, shows the lines and the amount due, and has a View and pay your quote button. The link is open for 14 days. The list shows each quote as Sent, Opened, Paid, Expired or Cancelled. For an open quote you can copy the link again or cancel it, and a cancelled link stops working. Open quotes across all your clients are also listed in the Sales pipeline on the Overview.
What your client sees
Your client opens the link (it looks like https://app.trustpager.com/q/ followed by a code) with no login. They see who the quote is from, their business, the lines, Due today plus GST, and for the CRM the monthly amount after that. Pay opens secure Stripe checkout, and GST is added from their billing address.
For the CRM, one payment covers the first month for every user plus the setup fee, and their card is saved for the monthly payments. There's no free trial. If prices have changed since you made the quote, or it has expired or been cancelled, the page says so and asks them to request a new one. Just make them a fresh quote.
Paying with a saved card
For Website Design and AI Agent quotes, if the person opening the link is signed in to TrustPager as an admin of that business (not agency support) and the business has a saved card, the page offers to pay with that card (for example Pay with Visa ending 1234). They confirm, and it is charged straight away. If their bank asks for an extra check, they finish it on Stripe's page. Pay with a different card opens the normal secure checkout.
Anyone else, or someone not signed in, always gets the normal secure checkout: the link alone never charges a saved card. The CRM is always paid on the secure checkout page.
After they pay
- For the CRM, the client moves onto the paid plan.
- For Website Design or AI Agent, TrustPager gets the request to build it and will be in touch with your client.
- Whoever made the quote is recorded as having brought in that client, and it shows on an account manager's commission page.
Templates
A template is a workspace that holds a ready-made setup you want to reuse: pipelines, automations, forms, documents, products, booking types, auto schedules and portal templates. Build one once at https://app.trustpager.com/agency/templates (click New template), then start as many clients from it as you like. Templates are for owners and systems architects.
Each template has a card showing when it was created, when it was last edited, and which clients started from it. Click Start a client on a card to create a client from that template, or Edit to work on the template itself.
Starting a client from a template copies the whole setup into the new workspace, once. A few things are cleared, because they belong to the template rather than the client:
- Every copied automation arrives switched off.
- Anything tied to a person, a phone number, an email sender or a connected app is cleared and listed as a setup item for you to finish.
- An automation can't be switched on while it still has a setup item that blocks it.
Setup items still to finish show in Today on https://app.trustpager.com/agency/home, on the client's page, and next to the client on https://app.trustpager.com/agency/clients. If a template copy fails, it shows up in Today too.
Templates are for building and testing only
- A template stays a template. It can never become a live workspace, and a live workspace can never become a template.
- Emails, texts and calls from a template only ever reach the people building it, which means your agency's staff. Anything addressed to anyone else is blocked, and nothing is sent.
- A template has no phone number of its own. It sends texts and calls from TrustPager's shared test line. Replies to the test line don't come back into your template, so test anything that depends on a reply in a live client's workspace instead.
- Templates aren't billed. Texts, calls and AI you use while building one come out of your agency's own credits.
- A template's website only ever gets a preview address, never a real domain.
Websites
Build your clients' websites in your own GitHub repos and host them on TrustPager, at https://app.trustpager.com/agency/websites. Websites are for owners and systems architects. The agency owner connects GitHub once, then you connect a repo and branch to each client.
Each site has a card showing its live home page. Use the filters All sites, Live, Needs attention and No repo, or search, to find one. Clients without a website collapse into a single row at the bottom, with Quote a website and Connect repo buttons for each.
The site page
Click a site to open its page. It has:
- A framed preview you can switch between Live and Latest preview, and between desktop and phone width.
- Publishing: turn on Publish automatically, click Publish preview to make the latest preview the live site, click Sync now to pull in the newest push, or Disconnect repo.
- Domain: point the client's domain at the site.
- Build failure log: if a build fails, the end of its log is shown so you can fix it.
- Versions: every version of the site. Click Publish on a version whose preview is ready to make it live, or Roll back to this on an earlier published version to put it back live.
The full steps to connect a repo are in https://app.trustpager.com/training/help-center/connect-client-website-to-github.
Your clients' service requests
When one of your clients submits a service request, it comes to you first, at https://app.trustpager.com/agency/service-requests. New requests wait under Waiting on you. Open requests also show up in Today on the Overview, and each client's requests are on the Service requests tab of their page. Owners and systems architects can change a request's status, add notes the client can read, or click Pass to TrustPager and add a note explaining what you need from us. Account managers can see requests and add notes, but can't change the status or pass a request on. Once you pass a request on, we take it from there and keep the notes updated.
You can also add notes from Claude or your own tools through the agency API: see Agency API key below.
Requests you submit yourself, about one of your clients, come straight to TrustPager.
Your team
Your agency's staff are the members of your agency's own workspace, managed at https://app.trustpager.com/settings/team. The agency owner sets each person's Agency role (Owner, Systems architect or Account manager), which clients they look after, and their Commission plan (see Commission for your team below).
Making someone an account manager asks the owner to confirm, because it ends that person's support access in your clients' workspaces.
Their role in your agency's own workspace
After you make someone an account manager, you're asked whether to also switch their role in the agency's own workspace to Account manager (sales). That role covers the opportunities they're on, contacts, tasks, quotes, and documents and sending, with no settings, automations, billing or API keys. Choose to keep their current role if the person also runs the agency. You can edit the role any time at https://app.trustpager.com/settings/permissions, like any other role. A role limited to opportunities "assigned to" the person also shows the opportunities they're on the deal team for.
Commission
This is what TrustPager pays your agency. What your agency pays its own salespeople is separate: see Commission for your team below.
You earn your agency's rate on the subscription each of your clients pays, excluding GST, for as long as you look after them. Your rate also applies to the setup fee on a CRM quote and to Website Design and AI Agent quotes you sell. Credit top-ups never earn commission, and neither do usage or hosting. Each client keeps the rate your agency had on the day they joined you.
Commission is visible to the owner. An account manager sees the agency rate and the commission from only the clients they sold, for this month and past months; it is still paid to the agency, not to the individual. A systems architect doesn't see commission anywhere. For any one client, the commission you've earned from them is on the Billing & quotes tab of their page.
https://app.trustpager.com/agency/commission shows it on the From TrustPager tab: what you've earned so far this month, and a statement for every month once it's over. Open a statement to see each client payment on it.
- Commission is worked out on money we've actually received. Each month's statement is paid the following month, by bank transfer.
- If a client is refunded, the commission on that payment comes off your next statement.
- If a month comes to less than $50, it rolls into the next month instead of being paid.
- If you're registered for GST, each statement is also a tax invoice that we issue on your behalf, with GST added on top. If you're not, it's simply a statement and no GST is added.
Commission for your team
This is what your agency pays its own salespeople on the clients they sell. TrustPager works it out for you each month, and you pay them yourself, outside TrustPager. Then you mark the month paid.
Set a person's plan
On https://app.trustpager.com/settings/team, find the person and click Set commission in the Commission column (agency owners only). Each box saves as soon as you leave it. A plan has two parts:
- One-off fees: a percent of setup fees, Website Design and AI Agents.
- Monthly subscription: a percent for the client's first few paid months, then a percent after that, either for as long as the client stays or for a set number of months.
For example, "100% of the first month, then 10% of everything" is one-off fees 10%, the first 1 month at 100%, then 10% for as long as the client stays. One rate on everything at the top fills every box with the same percent. The plan shows what it would pay on a typical client so you can check it before you go.
Each person can have a different plan. A change applies from the current month on: months already finished keep the plan they were worked out with. Nothing is worked out for someone until they have a plan, and their first plan covers every month since they joined your agency.
What counts
- Payments from the clients that person sold: through their own signup link, a quote they sent, or a client they created.
- Only while your agency looks after that client, and on money actually received, excluding GST. Credit top-ups never count.
- A client's first paid month of subscription is month 1, counted from when they were sold.
- If a client is refunded, the commission on that payment comes off the month the refund happens. If refunds take a month below $0, the difference comes off the next month. There is no minimum.
See what you owe and mark it paid
https://app.trustpager.com/agency/commission shows it on the Your team tab. If your agency doesn't earn commission from TrustPager, it's the only thing on the page. You'll see what you owe your team, each person's commission so far this month, and a payout for each person for every finished month. Open a month to see every client payment, its rate and the commission. Once you've paid someone, choose Mark paid from that month's menu and add your bank reference if you like. Mark unpaid undoes it.
Account managers see their own plan, this month so far and their past months, including which have been paid, on the Your commission tab.
Payout details
The agency owner tells us where to pay commission at https://app.trustpager.com/agency/payout-details: your business name, ABN, whether you're registered for GST, and the account name, BSB and account number. Each field saves as soon as you leave it. Only the agency owner and TrustPager can see these details, never your systems architects or account managers, and once saved, only the last three digits of the account number are shown.
Agency API key
Your agency's own tools, including Claude, can read your clients through the TrustPager API. Make the key on your agency's own workspace: open https://app.trustpager.com/settings/api while you're in your agency's workspace, click Create API Key, choose Custom Scopes and set Agency to Read. The Agency option only shows on an agency's own workspace.
A key with Agency access can see:
- Your agency: its name, commission rate, signup link, and how many clients and templates it has.
- Your clients and their health: plan, what they pay, trial end, users, website, last activity, open service requests and setup still to finish. Never a client's own data, like their contacts or opportunities.
- Your clients' service requests, including which are waiting on you and which you've passed to TrustPager.
- Your commission: this month so far and your monthly statements. Never bank details.
- What you pay your team: each person's commission plan, this month so far, and their monthly payouts.
The key follows the same role rules as the person who made it (or who connected Claude or Evie). Commission is for owners only: an account manager's key gets only the commission from their own clients, and a systems architect's key is refused. Websites are for owners and systems architects only. If the person is no longer on your agency's staff, their key and connections are refused.
The key can also add notes to your clients' service requests, and change the text of notes its person wrote, the same as on the Service requests page. Anyone on your agency's team can, account managers included, while your agency looks after that client. A note never changes a request's status or passes it on, and never reopens a finished request. For this, set Service Requests to Write as well as Agency to Read. If you connect Claude with your TrustPager login instead of a key, it gets the same access your role has, so an account manager's Claude can add notes straight away.
The key only ever works for your agency. Apart from notes, the one thing it can change is commission for your team: setting a person's plan and marking a month paid, and only when the key's person is an agency owner. For that, set Agency to Write, or to Write with Approval so each change waits for you in the approvals queue at https://app.trustpager.com/settings/api?tab=approvals. Each call uses the usual small number of API credits from your agency's workspace, and the API needs your agency's workspace to be on a paid plan. The full list of endpoints is at https://docs.trustpager.com/api/agency. To use it with Claude, connect the key at https://app.trustpager.com/ai-agents/ai-access.
Need a hand? Submit a service request at https://app.trustpager.com/settings/service-requests and it comes straight to TrustPager.
